Ringo is a trading name of Joshan Parmar, a sole trader registered in England and Wales. This policy explains how we collect, use and protect personal data when you use our AI receptionist service.

1. Who we are

Ringo is operated by Joshan Parmar (trading as Ringo), based in Leeds, West Yorkshire. Ringo acts as a data controller for client business data, prospective client data and website enquiry data, and as a data processor for caller data handled on behalf of clients (see section 4). Our registration with the Information Commissioner's Office (ICO) is in progress. You can contact us at hello@getringo.uk.

2. What data we collect

We collect and process the following personal data:

• Client business data — business name, contact details, services, pricing and availability provided during onboarding
• Caller data — name, phone number, address, booking details and call recordings collected during inbound calls handled by Ringo on behalf of our clients
• Website enquiry data — name, phone number, business name and trade type submitted via the demo request form
• Prospective client data — names, business email addresses and phone numbers of business owners we contact about Ringo, taken from public sources such as company websites and business directories

3. How we use your data

We rely on these lawful bases: contract for running the service for clients, legitimate interests for responding to enquiries and contacting businesses about Ringo and legal obligation for keeping financial records. You can object to being contacted at any time and we'll stop.

We use personal data to:

• Operate and deliver the AI receptionist service on behalf of our clients
• Book appointments and send confirmation messages to callers
• Send call summaries and alerts to our clients
• Respond to demo requests, contact businesses that may benefit from Ringo and onboard new clients
• Issue invoices and process commission payments

4. Data processor relationship

When Ringo handles calls on behalf of a client, Ringo acts as a data processor and the client is the data controller for their customers' personal data. Clients are responsible for informing their customers that calls may be answered and recorded by an AI system.

5. Call recordings and transcripts

Call recordings and transcripts are retained for a maximum of 90 days and then permanently deleted. They are used only to provide call summaries to the client the call was made to and to fix problems with that client's service. We do not use recordings or transcripts to train AI models.

6. Third parties

We share data with the following third-party services to operate the service:

• Retell AI — AI voice agent platform that handles call conversations
• Twilio — telephone infrastructure and SMS delivery
• Make.com — automation platform for post-call workflows
• Google Calendar — appointment booking (where applicable)
• Formspree — website enquiry form processing
• Zoho Mail — email, including call summaries sent to clients
• Notion — client and enquiry records
• Netlify — website hosting

Some of these providers process data outside the UK, mainly in the US and EU. Where they do, the transfer is covered by safeguards recognised under UK law, such as the UK International Data Transfer Addendum or the UK Extension to the EU-US Data Privacy Framework.

We do not sell personal data to any third party.

7. Data retention

• Call recordings and transcripts: 90 days
• Client business data: duration of the contract plus 12 months
• Invoice and financial records: 6 years (legal requirement)
• Website enquiries: 12 months
• Prospective client data: 12 months from our last contact, or sooner if you ask us to stop

8. Your rights

Under UK GDPR, you have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Object to processing of your data, including being contacted about Ringo
• Ask us to restrict processing, or to give you your data in a portable format
• Lodge a complaint with the ICO at ico.org.uk

To exercise any of these rights, contact us at hello@getringo.uk. If you called a business that uses Ringo, that business controls your data. You can contact them directly, or contact us and we'll pass your request on.

9. Security

We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss or disclosure. All data is transmitted over encrypted connections (HTTPS/TLS).

10. Cookies

This website does not use tracking cookies or analytics. No cookie consent banner is required.

11. Changes to this policy

We may update this policy from time to time. The current version will always be available at getringo.uk/privacy. Significant changes will be communicated to active clients by email.
